So what I want to do today is uh on Monday we have the sprint retrospective and as per our experience from the last sprint uh we have to discuss from beforehand and also I want to do like a sprint uh review like retrospective and I'll also give you like a brief introduction about what it is and then how it will also enhance our uh working experience as well.

All right. So, spring retrospective and this is one of the model that we are going to follow. I'll also introduce the website to you guys. So, calm model is keep add less and more. So, in between every two weeks our team will meet together. uh we'll meet together to discuss about what are the things that needs to be improved, what are the things that we need to keep, what are the things that we really appreciate appreciated between the whole team and if in case we do have any suggestions we can also p during the sprint and this is a bi-weekly spring retrospective and it will be done every two weeks and okay so what is a spring retrospective now spring retrospective is an opportunity for all the team members to pause, reflect and also to improve.

Tenzin Palkyi: I know that all of us have a lot on our plate right now especially with like uh all three of us working in many different kind of teams. So this is the opportunity for all of us to come together and for us to dedicate a time to stop building about what we are working uh what uh KPIs we need to follow what are the plans that we need to um uh submit by the by the time of the day by the end of the day and we just need to reflect on how we are working as a team together and the second one is reflect because every person in this team in this call right now all of Your voice is equal as all of us are. And then if you guys have any suggestions during the spring retrospective, you guys are all welcome to give your suggestion because your personal experience of working within the two weeks or just like a whole overview really matters a lot and every voice is important and after getting all the suggestions we'll try to improve. We'll leave with the clear action items that can make the next step sprint next sprint or next steps much better than the last.

Tenzin Palkyi: And this is not a performance review for the whole team. It's also not a blame session. It's just a safe and a structured conversation for the whole team. So I would really like to encourage everyone to be very mindful about the words that you use but then also be able to reflect your own personal uh experience as well. Okay. So why this matters for our team? Okay. So we have three teams right now. We have creators team, we have influencer masterclass team and then we have vuddis course. So from the creators team we have me Yash Anchel and Chonort and then influencer team we have myself Yash Anchel again and then Choni I'm so sorry I missed the E and then we Buddhist course we have Chili Aila and then Chori again and from the okay from our work view we can understand that we have like an over overlapping work stream. So this retrospective will keep us aligned before things get tangled and then sometimes there might be small frustration which can become big later on if left unset.

Tenzin Palkyi: So this is where we surface them very safely between all the team members where everyone feels heard and we also run this every two weeks so improvements are always recent and relevant. Okay. Okay. All right. I just went ahead. Okay. So what is scrum? Before that I would like to show you the website as well. I guess you guys can see it. Are you guys able to see it?

Tenzin Palkyi: Okay. All right. So this one this is the website that we're going to follow and I'm going to create a board and there are many templates. So for example we have lean coffee we have kick review between every two sprints positive negative and actions. We have start stop continue and actions was also a little um align with using status code check but then I felt like uh calm is the most suitable for our working team. Uh so we have keep add less and more. So once I start a session I can just share this URL to you guys and you guys can also access it.

Tenzin Palkyi: So what went well what could add value and what should be done less frequently and what should be done more often. So all the team members can if in case like within the two two sprint if in case our communication went well you can just write it over here and then you can add it. So this is one of the note that I want to keep. Okay. Now coming back to the uh presentation. So what is scrum? So it is going to be a digital white whiteboard just for us to run our retrospective together even when we are all in different time uh different locations. So what we're going to do join the board. So I'll send the URL to you guys. Click the link shared before the meeting and no account or training needed and we are going to write our sticky notes. So the note that I've just written like our communications are going well. You can just type any kind of um things that are going on your uh mind.

Tenzin Palkyi: So type your thoughts and place them in the right column either keep if in case there are something that a team is doing that is going well you add it in the keep section. If in case there's something for example in your past experiences you have worked on a different team and you really appreciate the workflow. If you want in um include any introduce any new tools you can keep it in the add section. And if in case there are few things that needs to uh go less then you can also add in the less section and then it will come the more section but that is also one of the action items and then after we finish writing the sticky notes we will come again as a group and then we'll discuss where we can we'll read the notes together and we'll also group similar ones together. So for example I have for now I've given like the communication uh is a very good thing from our end but if in case there are few team members who say that you know there are few communication gaps in between we'll just uh take notes of how many um suggestions of communications were given and with that we'll club them all together and we'll have a short open discussion on each and everyone will get three votes.

Tenzin Palkyi: For example, if in case like in the in the u in the add keep section, you can add three. You can add also less but then not more than three and click the notes that feel most important to act on. So if in case uh it's related on like for example if if it is related on like one of the workflow, we can just choose the action item and see if in case like uh which one who is like the most suitable person who can improve on that one. All right. And then own an action. So I hope that is you guys understood that. So the four columns of calm. So first we have uh keep. So things working well and we should uh protect and never lose. So what is that one thing that is making our work better right now? What are the things that we should protect even when things get really busy? And what are we proud of from the last two weeks? And in the add section we can add brand new ideas or practices that we have never tried.

Tenzin Palkyi: But if in case you think that is going to be very good we can also add. So what habit or process is missing from our team? What would make our work easier if we introduce it and what do other teams do that we should try? I know that we are not like mingling too much with the tech team but uh you I've also added past experiences from any workplace if we can add as well. and then less things that are existing right now but are taking too much time or energy. So what is slowing us down or causing confusion? What is meeting or process uh what meeting or process could be shorter and what are we overinvesting in uh relative to its value. So if in case we're spending a lot of time on something that you feel you personally feel like it's it's it's not a lot on our plate then you can definitely speak about it and then more things that are good but not happening often enough. So what is working but needs to happen more consistently and what do we do occasionally that should be a habit.

Tenzin Palkyi: So if in case like uh you want to do like a stand up because uh the creators team are not doing right now. So if in case do if you think that that is good then you can also introduce that and what feedback or collaboration could we have more of. Okay then how to run the retrospective step by step. So this is going to happen after we finish the uh sprint review with the admin team. So we're al after this meeting we're also going to look at the another PPT of the spin uh review and after that after once we finish having the meeting with the admin then we can also have another meeting where we'll we'll run all the spring we'll do the spring retrospective practically for the first time okay so we first we'll talk about um what we're going to discuss today explain the four columns I hope you guys are quite you guys have understood it quite well and then we'll Just take 10 minutes. Everyone will add their sticky notes to the four columns at the same time and then we after after 10 minutes we'll come together again and then we'll read uh people's suggestion and then we'll also discuss within each other and then if in is like there are few things uh this is not certain each person will definitely not get three words but if in case there are many suggestion we can also do that and we can assign the task and then we'll own the action and we'll really try to make the next sprint much

Tenzin Palkyi: better okay all right so ground rule said I really want to keep it over here what is set here stays here it is going to be a private space between the whole team and it is not just a personal thing that is shared in a room and it is definitely Definitely not a lame game but only for improvement itself and all the things that we are going to say within one another should be kept as personal uh professional and not p taken personally and then every voice is equal. There is definitely no hierarchy gaps in this room. So just speak your mind and speak if in case you think that this is really going to help the team. And then maximum three action items. I know that sometimes when I had my first sprint, I had a lot of opinion and I know I'm a person who has a lot of opinion. I know it is tempting but just stick to three. If in case we have more, we we can have more sprint in the future. And all actions need an owner, we will definitely try to so for each suggestion if in case it is actionable items, we can definitely try to have someone uh who will work on it and then we'll run this every two weeks.

Uh as per my conversation and then as as I remember said by Dumbula. So spring 10 we have started the spring from 5th of May and we're going to have it from 18th of May. And this is like one of the templates that I have made according to our brand and then brand uh color as well. So we can I have made a template over here. So with every sprint we can just make a duplicate of it and then start working on it. So sprint at a glance I just want to write about how many tasks we have completed if in case we have any in progress uh anything that is blocked or new task that should be added. uh this is not mainly important but I I feel like uh this for this spring goal we have focused more on the course customization kickoff which starts from the 18th of May and then we also had like a joint admin meeting which is solely focused on the budget for the V Buddhist influencer class and then we also had the Adidama in a year launch.

So I have since we have three teams together on this one I have kept it as creators team influencer masterclass and we boot this course and I have written all the team members name as well and it done this sprint done this print done this sprint. Uh so for creators team we have successfully completed my Buddha moment challenge gift hamper pack package project as well and we have also submitted to the admin team for their review and then ITCC Abidama challenge is also going to start from uh today and then research on dhapata is also done. So influencer master class conducted meeting with t dan and we also covered theou and we also covered the budget process as well venue and then trainer confirmation and branding. uh we have also drafted and sent budget sheet andou to Dr. G work and then we also this is a new thing but we have requested three ratner to cover like all the um uh printing materials as well.

And then we have created a WhatsApp group uh for V Bu Buddhist Sri Rata representative and welcome trainers. And then we are also we are also planning the second influencer masterclass with Kenzia foundation uh in Zongar monastery. And then we have finalized the poster third draft. And now I want to hear from you if in case I've missed out anything specific things that you want to write here and then we can also follow up with who are who is going to speak what tomorrow.
