Summary

Masterclass planning secured 2 main facilitators and requested a date shift, with discussion regarding venue confirmation and a 50/50 financial model.

Confirmed Facilitators and Schedule
Two facilitators, Yogesh Debanker and Rahul Dongre, were confirmed for the 5-day masterclass covering topics from finding one's niche to using AI tools. Rahul Dongre’s limited availability necessitates securing a guest speaker, with Kinta Buddha suggested, for the final day's feedback session.

Date Change and Financial Model
A date shift from July 15th-19th to July 16th-20th was requested to accommodate Rahul Dongre’s schedule, pending venue availability confirmation. Due to funding issues, the financial model was changed to a 50/50 split, requiring the creation of an MOU to formalize roles and responsibilities.

Branding Cost Sharing Requested
A request was made for the three ratna center to share 50/50 in the estimated 60,000 to 1 lakh branding expenses, including banners, ID cards, and signage. The target audience was clarified to include students and others, moving beyond the initially planned invitees.

Suggested Next Steps

  • [Tej Darshan] Check Venue: Check facility availability for shifting event dates to July 16 to July 20.
  • [Tenzin Palkyi] Email Details: Send email summarizing all discussed program details including facilitators, schedule, shifting dates, MOU financial model, and marketing costs. CC Dr. Jak.
  • [Tej Darshan] Team Discussion: Discuss finalized MOU draft, roles, responsibilities, and proposed 50/50 marketing budget model with the team.

Details

  • Introduction and Project Overview: Tenzin Palkyi thanked Tej Darshan for stepping in as the liaison while Dr. Gwok is absent and provided a brief overview of the project updates discussed earlier with Dr. J. The key discussion topics included the memorandum of understanding (MOU), confirming two facilitators, accommodation and food support, and plans for marketing and digital branding (00:02:46). Tej Darshan, who is in Pune, noted that the local weather is hot (00:00:00).
  • Facilitator Confirmations and Workshop Schedule: Two facilitators have been confirmed for the in-person masterclass: Mr. Yogesh Debanker, who has a strong tech and meditation background, and Mr. Rahul Dongre, a wonderful trainer and storyteller who attended the previous convention (00:03:47). The five-day schedule includes an opening night and registration, followed by Rahul Dongre leading sessions on finding one's niche and becoming a digital bodhisattva, and another session on storytelling to resonate with audiences. Yogesh Debanker, drawing on their tech background, will focus on AI tools on the third day (00:05:00).
  • Post-Workshop Feedback and Guest Speaker Planning: Rahul Dongre is only free for three days and will not be available for the final day's feedback session, prompting the need to secure another person (00:05:00). Tenzin Palkyi suggested inviting Quinthup Pema the “influencer of the year” from the recent Buddhist creators convention, to encourage content creation and handle a question and answer session. The final day will conclude with a pledge-leading session where attendees will write their inspiration and commitment to continue making social media content (00:06:16).
  • Venue Date Change Request: Tenzin Palkyi requested shifting the dates for the event from July 15th to 19th, to July 16th to 20th, because Rahul Dongre is available specifically from the 17th, 18th, and 19th. Tej Darshan stated that they need to check if the venue at the three ratna center can accommodate the new dates, and Tenzin Palkyi noted that adjusting to Rahul's schedule is important because they have a large fan base in the Maharashtra area (00:07:16).
  • Memorandum of Understanding and Financial Model: A memorandum of understanding (MOU) will be created to formalize the collaboration and clearly demarcate the roles and responsibilities for each organization. The original plan, where only programming details would be covered if Bhardi funding went through, has been replaced by a 50/50 financial model due to the funding not materializing (00:08:21). The three ratna center will handle accommodation, food, and logistics, while Tenzin Palkyi's organization will take care of their team's travel expenses (including for team members coming from abroad like K&T), trainer fees, trainer travel arrangements, and all programming details (00:09:45).
  • Requirement for Email Summary: Tej Darshan stated that the points discussed, especially regarding the financial details and programming, were too numerous to absorb in the conversation and requested that Tenzin Palkyi send all the details via email. This email will allow Tej Darshan to review the information, discuss it with their team, and move forward (00:10:52). Tenzin Palkyi confirmed they will send the final draft of the MOU, after discussing it with K&T on Monday, to Tej Darshan, and will also CC Dr. J, who is expected to return on May 19th (00:09:45) (00:11:48).
  • Marketing and Digital Branding Budget Request: Tenzin Palkyi introduced the final topic, which concerns marketing and digital branding, highlighting the importance of brand visibility for their startup (00:11:48). They humbly requested that three ratna consider a 50/50 cost-sharing model for branding expenses, such as banners, ID cards, and signage, since the collaboration will feature both organizations' logos prominently. The initial budget estimate for branding is around 1 lakh, though Tenzin Palkyi acknowledged it might cost less, possibly around 60,000 (00:12:56).
  • Marketing Strategy and Target Audience: Tenzin Palkyi confirmed that marketing efforts will include big banners, ID cards for participants, and social media marketing, including boosting posts to reach a wider audience, possibly targeting the Maharashtra area (00:14:01). Tej Darshan's previous understanding was that the event was meant for specific invitees—practitioners, teachers, academics, and technical people—but Tenzin Palkyi clarified that while those groups will be invited, they also plan to encourage students and many others to participate in the masterclass. Tej Darshan concluded by reiterating the need for the email summary to review all the points and proceed (00:15:11).

Tej Darshan: Weather is hot.
Tenzin Palkyi: It's hot. It's very hot.
Tej Darshan: Uh it is but our office are is cool because it's threetory
Tenzin Palkyi: Oh, yes.
Tej Darshan: building where at a ground floor so
Tenzin Palkyi: Uh-huh. Okay,
Tej Darshan: it's
Tenzin Palkyi: that that's good to know because Anchel is also somewhere near Nagpur and she told me like it's like around 40° over there.

00:02:46

Tej Darshan: Nagpur is terrible.
Tenzin Palkyi: So yeah,
Tej Darshan: Nagpur is I never go to Nagpur in summer and
Tenzin Palkyi: so that's how Yes. Oh,
Tej Darshan: I used to live in Nagpur and every summer I used to run
Tenzin Palkyi: I'm home.
Tej Darshan: away.
Tenzin Palkyi: All right, sir. Understandable because I used to live in Delhi and it's just unbearable. But yes, sir. All right. Okay,
Tej Darshan: Yeah.
Tenzin Palkyi: sir. Uh, first of all, sir, I just wanted to thank you. Thank you for stepping in as the Liz uh when Dr. Gw is not in here right now. I really do appreciate your support in this project. Uh so what I want to talk to you today is just a little brief about what I've discussed with Dr. J earlier about uh the memorandum memorandum of understanding and I wanted to update you about uh the two facilitator that we have confirmed and then also like accommodation and food support and then the final one is on like the marketing and digital branding.

00:03:47

Tenzin Palkyi: Okay. So if in case I'll go with the first topic which is on the facilitators.
Tej Darshan: Okay.
Tenzin Palkyi: Uh one of the really exciting news is that earlier Dr. Chibak has sent me this um one resume CV from of a Mr. called Mr. Yogesh Debanker. He has a very strong tech background and also meditation background as well and he also seemed to be like a member of three ratna if I'm not wrong someone called Mr. Yogesh Debanker. So yes yes
Tej Darshan: Okay.
Tenzin Palkyi: so he said that Mr. Yanka said that he's very interested in leading one of the session uh for
Tej Darshan: Uh,
Tenzin Palkyi: the inerson master class and now the second person is uh Mr. Rahul Dongr so Rahul was there during the convention sir if in case you do remember and he is also like a wonderful trainer and also a wonderful storyteller as well. uh and then what we are planning right now is that on the first day we'll have like the opening night and I'll also go through the uh detailed schedule of what we have created uh on Monday or on Tuesday.

00:05:00

Tenzin Palkyi: So first day will be like the opening night registration and opening night and then the next day will be the first day where Rahul will teach uh not only teach but also lead practical sessions on um niche finding your niche and becoming a digital bodhisawa. He will teach about that one. And then on the third day he will Rahul Dongre again will teach about um storytelling and why you can how you can tell stories that can resonate create resonance between your audience and uh bring you a closer relationship with your audience. Um he'll teach about that and on the third day will be Yogesh Debanker. Yogesh since he's from a tech background he will uh most importantly he'll speak about AI and then he'll introduce AI tools and yes so these these are like the three days that we are going to focus on because we only have five days one will be the opening night first day Rahul Dongi will teach about niche second day Rahul will teach about storytelling and then on the third day Yogesh will teach about AI and now on the fifth day I was thinking like we'll do like a collective feedback session But unfortunately Rahul has mentioned that uh he will only be free for 3 days.

00:06:16

Tenzin Palkyi: So he'll not be available on the last day which is like on the feedback session. But we can think of bringing another person. So we were thinking if in case like recently we had a Buddhist creators convention and we were thinking if in case like the influencer of the year Kinta Buddha he can come and then just encourage people and then for them to create content so that one he can also take on and also he can take on question and answer and
Tej Darshan: Who's there?
Tenzin Palkyi: along uh Ktoma. Yes. And along with Kinda, we were thinking if in case like we can also have someone from the convention who really has
Tej Darshan: Okay.
Tenzin Palkyi: an uh has made an impact and is making a lot of content online. So we were thinking of finding someone like that and then at the end we can have like a uh pledge leading session where everyone will uh write the inspiration and then uh we'll write their pledge on how they will continue uh making content on social media.

00:07:16

Tenzin Palkyi: So this is just like the rundown of like the five days. Now one thing that I wanted to discuss with you is like um earlier we have decided to lock the dates from 15 of July to 19th of July. Uh but I wanted to ask if in case it will be possible if in case we can shift it to one day and started from 16th of July to 20th of July instead of 15 to 19 will that be possible for the venue sir?
Tej Darshan: I need to
Tenzin Palkyi: Sure sir. Sure sir. Because Rahul since he had mentioned that he will only be available for 3 days.
Tej Darshan: check.
Tenzin Palkyi: Uh he said that he will be available from 17, 18, 19. So we have to find a way in which like he can come for the program encourage a lot of people because we have noticed that he has a lot of fan in Maharashtra area Maharashtra area. So it'll be like a good options to take him and have him on board. But we also have to like adjust according to his according to his schedule.

00:08:21

Tenzin Palkyi: So this is what we have decided if in case like the it will work for the venue at free ratna center that will be very good sir. Okay. Uh so now on the second point with uh the MOU as earlier we had a discussion where we will create a memorandum of understanding just to formalize our collaboration. Uh whenever we take on any collaboration work we always make sure that we have u make we have made anou which clearly demarcates all the roles and responsibilities of each
Tej Darshan: Awesome.
Tenzin Palkyi: organization that will lead through the event. So one of the things that I need to update is around the financial model. So earlier we have discussed that uh if in case Bhardi funding will go through um we only need to take care of the programming details and not with the rest of accommodations, logistic, trainer fee, team traveling everything. So but now unfortunately since the bari funding has not gone through and uh this was what was discussed with me and Dr. Gwok. So Dr. work earlier told me that since bharti funding will not work, we have to find an alternative solution where both the organization will just focus on their strengths and uh try to do their financial backings from uh from their different models.

00:09:45

Tenzin Palkyi: So like going like a 50/50 model sir with according with the financial model. So um what Dr. Giwark has mentioned is that we don't need to worry about the accommodation and also like the food and logistics because tree ratner center over there they always used to have like uh many sessions going on and then they always used to have like workshop and there he mentioned that there are people working over there who will take care of all of this. So this was what was discussed. So but then he mentioned if in case like we can take care of the our all our team travels because few of our team member are also coming from abroad especially guarantee and then the second one is that um I'll take care of all our team travels and also like the trainers fee that we should that we Buddhists will take care and then also like the trainers travel arrangement as well that we should take care of and then most importantly is like all the programming details that we to take care of. So I will send you theou I have to discuss like the final draft with K&T on Monday.

00:10:52

Tenzin Palkyi: So if in case you can discuss it with your team as well uh that will be really good
Tej Darshan: Okay.
Tenzin Palkyi: sir.
Tej Darshan: uh uh I mean all the points you have mentioned it was too many things for me to take in.
Tenzin Palkyi: Okay. All right. Um,
Tej Darshan: So could you send me that by email so
Tenzin Palkyi: sure. Definitely, definitely. Yes, definitely. So,
Tej Darshan: I can have a look and then uh talk to team and then you know we can go forward.
Tenzin Palkyi: yes, yes,
Tej Darshan: Uh have you talked about the the details of the programming the
Tenzin Palkyi: definitely.
Tej Darshan: five program you said with the jakat? Have you done? Okay. Because what happened look I mean he just mentioned me to sort of you know keep in touch with
Tenzin Palkyi: Mhm.
Tej Darshan: you. Uh I mean that much he said to me.
Tenzin Palkyi: Yes.
Tej Darshan: So I do not know much details.
Tenzin Palkyi: Okay. All right, sir.

00:11:48

Tenzin Palkyi: Okay, sir. So, do you have like any idea on when Dr. Gwak might be back, sir?
Tej Darshan: He's back on 19th.
Tenzin Palkyi: On 19th of May. All right. That's like quite a lot of time.
Tej Darshan: Yeah.
Tenzin Palkyi: But yes, definitely sir. I will try to I'll in email you with all these details that I have shared with you and of course I'll also CC Dr. Jak as well because he was like the main point of contact that I was having all the communications with sir. All right.
Tej Darshan: Okay, that's
Tenzin Palkyi: Okay sir. Yes sir. Now uh one of the final thing that I wanted to talk about is like the marketing and digital branding.
Tej Darshan: great.
Tenzin Palkyi: So um whenever we have any kind of event we really focus on like having um like a good marketing and then also like um our main focus is also like on the branding because we as a startup we really need to focus on creating like a good visibility. So brand visibility is very important but I wanted to ask you because uh last year during the convention we have invested a lot on our branding.

00:12:56

Tenzin Palkyi: Uh for example we had like many huge banners and we had ID cards and then there are lots of um like signage like uh there are also like social media icons. So all of this it do take a lot of uh budget from our side. So if in case like we are doing like a collaboration work between like both of the organization, I wanted to humbly ask tree ratna if like tree ratner will be open to sharing this cost with us because currently we have kept the budget like for around um one lakh and if in case like both the organizations logo will be prominently visible on that I think it'll be like a good take and I'll also like to humbly request right now if in case like we do like a 50/50 model on this one but I'm not sure whether it cost still like one lakh.
Tej Darshan: What?
Tenzin Palkyi: It might cost like around 60,000. It'll definitely cost less but it'll be much more helpful for the team since this is our first master class and then we didn't really allocate like the specific budget uh for like the master class.

00:14:01

Tenzin Palkyi: So if in case we can uh assist each other on the marketing and digital branding that will be very helpful from your answer and I'll definitely mail all these details to you so that you can discuss it with your team later on and then get back with the information
Tej Darshan: Okay.
Tenzin Palkyi: sir.
Tej Darshan: Uh uh. Uh are we going to do marketing for
Tenzin Palkyi: Yes.
Tej Darshan: this?
Tenzin Palkyi: So during the master class itself we will definitely have uh big banners right banners and then we'll give it cards for all the participants and then of course we will uh we will do social media marketing as well. social media marketing we'll try to boost um since we're only doing it for a very short period of time we don't have like many many months um we need to do like a thing in social media called boosting the um the poster through which it might probably take like 5,000 10,000 to boost and then it will reach more uh people especially like we can also choose like specific country for example if in case we're having in Pune we can uh boost the post and sponsor.

00:15:11

Tenzin Palkyi: We can also do sponsorship specifically for Maharashtra area. We can also do that but it is going to cost us money. So that's why
Tej Darshan: Because my understanding is uh we supposed to you know have specific people like uh the practitioners, teachers,
Tenzin Palkyi: Uh-huh.
Tej Darshan: then academics and the technical people
Tenzin Palkyi: Yes. Yes, we are.
Tej Darshan: and and my understanding was we are going to invite specific people for
Tenzin Palkyi: Mhm. Yes, we are going to invite those people as well.
Tej Darshan: those
Tenzin Palkyi: But uh we are also going to encourage like many people especially I think students right if I'm not wrong for to take part in this master class as well.
Tej Darshan: Okay.
Tenzin Palkyi: Yes sir.
Tej Darshan: So if you uh send me that email uh I can have a look
Tenzin Palkyi: Sure. Sure. Definitely.
Tej Darshan: all the points and then we can take it from
Tenzin Palkyi: Sure, definitely sir.
Tej Darshan: there.
Tenzin Palkyi: Definitely. All right, sir. So, these are the things that are on my agenda today and what I wanted to discuss. Yes sir. So, I'll send you all the details in the mail itself and then kindly get back to me once uh you have all the details and if in case you have any questions just let me know, sir.
Tej Darshan: Okay,
Tenzin Palkyi: All right.
Tej Darshan: that's a great Okay,
Tenzin Palkyi: Thank you so much for your time, sir.
Tej Darshan: then. Take care.
Tenzin Palkyi: Bye. Bye, sir.
Tej Darshan: Bye-bye.
